Responsibilities

  • Provide proactive administrative support to the Operations team
  • Manage and coordinate team calendars, meetings and meeting logistics
  • Prepare agendas, take meeting minutes and follow up on action points
  • Draft, format and manage presentations, reports and internal documentation
  • Support internal communication and information flow within the team
  • Monitor deadlines, priorities and follow-up actions
  • Support expense administration and basic budget followup
  • Act as a first point of contact for internal stakeholders
  • Ensure documentation and processes are handled in line with internal procedures

Requirements

  • Proven experience as a Management Assistant, Team Assistant or similar role
  • Strong knowledge of MS Office (Outlook, Word, Excel, PowerPoint)
  • Experience with agenda and meeting management in a corporate environment
  • Confident user of collaboration tools such as Microsoft Teams and SharePoint
  • Strong organisational and administrative skills
  • Non-Technical profile requirements
  • High level of discretion and integrity when handling confidential information
  • Well-structured, detail-oriented and highly organised
  • Proactive, serviceminded and handson attitude
  • Strong communication skills and professional stakeholder management
  • Ability to manage priorities and remain effective under pressure
  • Team-oriented mindset
  • Methodology / Certification requirements
  • No specific certifications required
  • Experience in an industrial, technical or international environment is an asset
  • Language proficiencies
  • English: fluent (working language)
  • Dutch: nice to have
  • French: nice to have
  • German: nice to have
