Assist in the onboarding and registration of contractors on site, ensuring they meet all necessary HSE requirements.
Verify and maintain up-to-date records of contractor documentation, including insurance, qualifications, and safety certifications.
Track and monitor contractor performance, ensuring adherence to site-specific HSE policies and regulations.
Coordinate and communicate with contractors to ensure they receive all necessary site access and safety briefings
Document Control and Verification:
Manage and track all HSE-related documentation, ensuring that all records are complete, accurate, and compliant with company and regulatory requirements.
Review and verify contractor documentation, including certifications of training, qualifications, and safety compliance.
Maintain HSE reports, audit logs, inspection records, and incident documentation in an organized and accessible manner.
General HSE Administrative Tasks:
Assist the HSE department with preparing reports, presentations, and other documentation for meetings and audits.
Assist with the organization of site safety meetings, risk assessments, and safety audits.
Provide administrative support for incident investigations, reporting, and follow-ups.
Manage and update safety data sheets, permits, and other safety documentation.
Requirements
Proven experience in administrative support roles, preferably within the HSE or construction industry.
Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
Familiarity with contractor management processes and documentation.
Knowledge of HSE regulations and safety standards, particularly in the chemical industry, is a plus.
Attention to detail and high level of accuracy in document verification and record-keeping.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office software.
Strong communication skills and the ability to work effectively with different teams and contractors.
Ability to maintain confidentiality and handle sensitive information with professionalism.
